1. About this Privacy Policy

Integrated Automations (ABN 29 667 090 888) (“we”, “us”, “our”) is committed to protecting the privacy of every person who uses our website or services. This Privacy Policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using our website, booking an assessment, or interacting with our chatbot or AI voice agent, you consent to the collection and use of information as described in this policy.

2. What personal information we collect

We may collect the following categories of information:

  • Identification & contact details — your name, email address, phone number, business name and role.
  • Booking details — date and time of your discovery call, payment confirmation reference (we never see full credit card numbers — these are processed by Stripe).
  • Assessment information — descriptions of your business, team size, tools you use, workflow pain points, and any other information you choose to share during the discovery call or in subsequent correspondence.
  • Chatbot conversations — text you send to our website chatbot (powered by Google Gemini). These conversations are not stored permanently by us, but are processed by Google under their terms.
  • AI voice agent transcripts — if you use the voice agent on our /talk-to-annie demo page, the audio and transcript are processed by Retell AI and may be stored briefly for quality monitoring.
  • Newsletter and lead-magnet signups — your email address if you request our sample report, AI readiness quiz, or newsletter.
  • Website usage data — IP address, browser type, device, pages visited, and time spent. This is aggregated and anonymous unless you explicitly identify yourself.

3. How we use your information

We use the personal information we collect to:

  • Provide the AI Business Assessment you have purchased.
  • Deliver your written report and conduct the follow-up call.
  • Communicate with you about your booking, the assessment, and any related implementation work.
  • Respond to enquiries you make via email or our website chatbot.
  • Send you our newsletter or requested resources (only if you have explicitly opted in).
  • Improve our website and services.
  • Comply with our legal obligations.

We do not sell your personal information to third parties, ever. We do not use your business information to train our AI models or those of any third party beyond ordinary use of the third-party services described below.

4. Third-party services we use

To deliver our services, we share certain information with the following third-party processors. Each operates under its own privacy policy:

  • Cal.com — schedules your discovery call and walkthrough call. Receives your name, email and selected time.
  • Stripe — processes your payment. Receives payment card details directly (we never see them) plus your email and billing details.
  • Google Gemini — powers our website chatbot. Receives the text of any messages you send to the chatbot.
  • Retell AI — powers our voice agent demo. Receives audio of conversations on the /talk-to-annie page.
  • Email and hosting providers — used to deliver email correspondence and host this website.

Some of these providers are based in the United States or other countries. By using our services you consent to your information being processed in those countries, where data protection laws may differ from Australia’s.

5. How we store and protect your information

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure. This includes:

  • Storing information on encrypted, password-protected systems.
  • Limiting access to personal information to authorised personnel only.
  • Using reputable third-party processors (listed above) that maintain industry-standard security.
  • Reviewing and deleting information when it is no longer required.

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but we work actively to maintain the integrity of your information.

6. How long we keep your information

We retain your information for as long as necessary to provide the services you have engaged us for, comply with our legal obligations (including tax record-keeping), resolve disputes, and enforce our agreements.

Assessment records, including your written report, are typically retained for at least seven (7) years to meet Australian taxation and accounting requirements.

7. Your rights

Under the Australian Privacy Principles you have the right to:

  • Access the personal information we hold about you.
  • Request a correction of inaccurate or out-of-date information.
  • Withdraw consent for marketing communications at any time.
  • Lodge a complaint about our handling of your information.

8. Cookies and analytics

Our website uses minimal cookies, only for essential functionality (such as remembering your chatbot conversation in the same session). We do not currently use third-party advertising cookies.

We may add privacy-respecting analytics (such as Plausible, Fathom, or anonymised Google Analytics) in future. If we do, this policy will be updated and we will notify website visitors.

9. Children's privacy

Our services are intended for business owners and are not directed at individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be notified on the website home page.
