10 Automations every Australian bookkeeper should have.

Specific tools, real prices, honest time savings. Built from patterns across the bookkeeping and small accounting firms we work with.

Bookkeeping is full of repeatable, structured tasks — exactly the kind of work modern AI does well. The leverage here is enormous: most of the items below let you take on more clients without hiring proportionally more staff.

Total monthly cost if you implement all ten across a 4-person firm with ~80 clients: $1,200–$1,800/mo. Total capacity recovered: equivalent to ~1.5 FTE — typically room for 15–20 additional clients without new hires.

We don’t take affiliate commissions on any tool mentioned.

Quick win— 1–2 days
Medium— 1 week
Bigger build— 2–3 weeks
01

Smart receipt + invoice OCR with auto-coding

Quick win

The pain: Hours per week chasing clients for documents, manually keying line items, choosing the right chart-of-accounts code. Existing OCR tools help but most don't learn your client's specific coding rules.

The fix: AI-assisted bookkeeping that learns each client's chart-of-accounts coding history. Pre-codes 90%+ of transactions correctly; you only review the edge cases. Multi-client view so the same tool serves your whole client base.

Tools

Dext, Hubdoc, or Auto-Entry + Make.com fine-tuning

Typical cost

$30–$60/mo per client

Impact

Saves 4–6 hours/week per client at scale

02

AI email triage assistant

Medium

The pain: Hundreds of client emails a week. 80% are routine ('please find attached', 'when's the next BAS due', 'can you resend my P&L'). Senior practitioner time gets eaten by triage.

The fix: Inbound emails auto-categorised into urgent / routine / FYI. Routine emails like 'send my last BAS' get answered automatically with the attached doc. Senior practitioner only sees emails that genuinely need human judgement.

Tools

Make.com + Gmail/Outlook + Gemini

Typical cost

$60/mo

Impact

Recovers 1–2 hours/day of senior practitioner time

03

Templated client onboarding flow

Medium

The pain: Every new client = engagement letter, ID verification, bank-feed setup, KYC, payment method. Mostly manual, mostly slow, eats junior team hours.

The fix: Single web form fires off the engagement letter via DocuSign, ID verification request, bank feed authorisation prompt, and creates a CRM record. Onboarding time drops from days to under an hour of staff time.

Tools

Make.com + DocuSign + your accounting suite

Typical cost

$60/mo

Impact

Saves 2–4 hours per new client; lifts conversion (faster onboarding = fewer drop-offs)

04

Auto-generated client reports

Medium

The pain: Monthly P&L reports, quarterly BAS prep, year-end packs. Pulling data from Xero/MYOB and formatting into client-friendly documents takes hours per client per cycle.

The fix: Reports auto-pulled from Xero, formatted into a branded PDF, with a plain-English summary written by AI. Sent to client on schedule. You spot-check before they go out.

Tools

Fathom HQ, Spotlight Reporting, or custom Make.com

Typical cost

$60–$100/mo

Impact

Saves 30–60 mins per client per cycle

05

Bank reconciliation AI suggestions

Bigger build

The pain: Reconciliation is repetitive but the rules are nuanced per client. Default Xero suggestions miss too often. Junior staff need senior review constantly.

The fix: AI layer over Xero that learns each client's typical transactions and suggests reconciliation matches with higher accuracy than the built-in. Confidence scores tell you what to spot-check vs auto-approve.

Tools

Custom Make.com + Gemini + Xero API

Typical cost

$40/mo plus build

Impact

Cuts reconciliation time by 40–60%

06

Client portal with auto-status updates

Medium

The pain: Clients constantly ask 'where's my matter at?' and 'when's my BAS due?'. 5–10 minutes of senior time per enquiry, multiple times per week per client.

The fix: Client portal showing live status of their bookkeeping, current and upcoming deadlines, recent reports. Patient self-serves the boring questions; you only handle the strategic ones.

Tools

Your accounting suite's portal (LEAP, Xero HQ) or custom

Typical cost

Usually included; otherwise ~$40/mo

Impact

Saves 2–4 hours/week of client-status enquiries

07

Recurring deadline reminder system

Quick win

The pain: BAS, IAS, super, payroll, year-end — each client has a different schedule. Tracking it in a spreadsheet leads to missed deadlines and panic.

The fix: Calendar of all client deadlines auto-built from their entity types and registration data. Reminders to your team and (configurably) to clients ahead of each due date. Late lodgement penalties drop to near zero.

Tools

Make.com + Google Calendar / Outlook

Typical cost

$29/mo

Impact

Eliminates missed-deadline penalties + 3–5 hours/week of tracking

08

Automated overdue invoice escalation

Quick win

The pain: Your own firm has overdue invoices. Chasing clients is awkward. Some don't pay until the third reminder.

The fix: Reminder cadence after an invoice goes unpaid: gentle nudge at 7 days, firmer at 14, formal at 30, partner-escalation at 45. Tracks who's still outstanding. Tone configured per relationship.

Tools

Xero built-in or Chaser / Satago

Typical cost

Free (Xero) or ~$30/mo

Impact

Drops average days-to-payment by 30–50%

09

Inbox-to-task automation

Medium

The pain: Client email comes in with three to-dos buried in a paragraph. They get missed or duplicated in different systems.

The fix: AI reads incoming emails, extracts action items, and creates tasks in your practice management tool with the right owner and due date. Email itself is filed against the client record.

Tools

Make.com + your inbox + Gemini

Typical cost

$50/mo

Impact

Saves ~1 hour/day of admin + drops dropped-task rate to near zero

10

Custom client-knowledge assistant

Bigger build

The pain: Junior staff constantly ask 'what's this client's GST status?', 'do they have rental properties?', 'is this transaction usually deductible for them?'. Senior staff answer the same questions weekly.

The fix: Private chatbot trained on each client's profile, entities, structures, and recurring transactions. Juniors ask it before interrupting seniors. Halves senior interruptions.

Tools

Custom Make.com + Gemini + vector store

Typical cost

$60–$100/mo plus initial build

Impact

Saves 1–2 hours/day of senior practitioner interruptions

A note on AI doing your bookkeeping

None of the above replaces your judgement as a registered BAS agent or accountant. AI is good at the repeatable mechanical work; you still own classification accuracy, client advice, compliance positions, and the relationship. The point is to free up the hours currently spent on bookkeeping mechanics so you can do more of the work you’re actually paid for.

Where to start

Most firms should start with #1 (receipt OCR + smart coding), #2 (email triage), and #7 (deadline reminders). These three alone usually free up 8–10 hours/week firm-wide within the first month.
